Change is scary. Especially when you’re a busy gym owner, and you know changing any kind of operations in your gym will likely be a time-consuming, possibly overwhelming and stress-inducing, process.
Maybe you have been considering adding unattended access to your members, but you have been dragging your heels because of your hesitation to undertake such a seemingly daunting transition.
We know this, which is why we have created a simple five-step process (and hold your hand every step of the way).
Step 1. Set-Up
When you come on board, you’ll have a welcome call and will receive a welcome email with our Installation Guide and Best Practices.
The email will also ask you to answer some simple questions, including your facility address, phone number, business email, logo etc.
You will also be asked to schedule a time for the pre-install walk through, where you will meet with our implementation team (This only takes about 15 minutes).
Step 2. Install
We will activate your gym on the HybridAF app, and will come on-site for a few hours to install the goods at your facility.
At the end of today, you will now have the ability to unlock your door utilizing the HybridAF app. (That being said, you can still use your normal keys to open your door, as well, if need be).
Step 3. Pre-Launch
During the pre-launch phase, you will need to update your waiver and rules to reflect unattended access and upload them into the app so everything is ready for your members before you launch HybridAF., Further, you should let your insurance company know that you’re about to go live with 24/7 access. Then you will connect the HybridAF app to your current member management system.

Step 4. Soft Launch
During the soft launch, you will become familiar with the user and admin features on our platform so you can easily manage your gym and your members. And, of course, our support team is here to answer any of your questions.
Then you will roll out access to a test group, which likely includes your coaches and maybe a few members. The test group will now be able to access your facility easily with their phones. This phase is where our integrations shine, as you’ll be able to enable access via integration with your gym management software to provide a simple, seamless experience for your members.
When you’re ready to go, it’s time to make the announcement that you’re a HybridAF gym (and we always appreciate you tagging us on your posts when you do, so we can share the news, as well).
Step 5. Full Launch
It’s time to unlock the doors and roll out unattended access to your members in whatever way you choose to do so.
It’s also the time to begin billing for the service (which can easily be done through your member management software).
As we mentioned, there are various ways to offer unattended access. Some of these include:
- Early Adopters/Founders Club: Some gym owners give the first 20 to 30 members who sign up for unattended access a reduced rate to get the ball rolling. This puts immediate cash in your pocket to recover the install expenses.
- Member Price Increase: Other gym owners (who might have been wanting to raise their memberships rates) use the value-add that unattended access provides as a great time to increase their membership rates across the board.
- Add-On Membership: Another option is to offer unattended access at a cost only to those members who want it.
- Open Gym Membership: Others still offer unattended access memberships only. Sometimes they’re a great way to capture new clientele you otherwise wouldn’t have been able to cater to. Most gyms charge between $40 and $85 a month for unattended access, and it’s largely passive revenue. Conversely, you can use open gym memberships as a way of selling individual program design, again increasing your revenue.
